Practical tools

The records you need, together.

Practitioners and their details

Keep practitioners, emergency contacts and classes connected. Contact details do not determine who pays a fee.

Classes and agreed fees

Organize programs and configure monthly, fixed-total, one-time or custom fee amounts. Review eligible monthly charges before explicitly creating them.

Payments and numbered receipts

Record money after it is received, including part payments. Keep remaining balances, payment details and preserved receipt history together.

Role-based staff access

Give your team defined access for owner, receptionist, instructor and accountant work. The same role permissions apply across organization types.

Financial clarity

Four records. Four clear meanings.

An agreed fee, an amount owed and a payment received are different things.

Configured fee
The rate or amount you have agreed.
Money owed
A charge you explicitly create.
Payment received
Money already received and recorded.
Receipt
A numbered record preserving payment details.

Start with your existing records

Bring your practitioners in with CSV.

Download an organization-aware template, upload records and review errors or duplicates before you confirm. The labels match your workspace.

Importing participant records does not create charges, payments or membership periods.

Entitlement dates, kept separate

Keep membership periods in view.

Record current, upcoming and expired participant membership periods. Create or renew periods explicitly where you use membership programs.

Membership entitlement is separate from payment status. Creating or renewing a period does not create a charge or payment.

Good to know

A few questions before you start.

Can I use FeeBuddy for classes and membership programs?

Yes. Configure class or membership programs and keep practitioner associations and fee records connected. Membership periods are recorded separately from charges and received payments.

Does configuring a fee create money owed?

No. A configured fee is an agreed amount. A charge records money owed only when explicitly created. For monthly workflows, preview eligible participants, choose who to include, review the total and create charges explicitly.

Does FeeBuddy collect payments online?

No. FeeBuddy does not collect payments online. Record money after you have received it, including the amount, date, method and reference. Part payments and remaining balances stay connected to numbered receipts and preserved payment history.

Can I import practitioners using CSV?

Yes. Download the template for your organization type, upload participant records, review validation and duplicate results, then explicitly confirm. Importing records does not create charges, payments or membership periods.

Can staff have different access?

Yes. Assign owner, receptionist, instructor or accountant access with defined permissions. Industry labels describe the same shared FeeBuddy role permissions.

How do membership periods and renewals work?

Record current, upcoming and expired membership periods and renew them explicitly. FeeBuddy does not automatically renew memberships. Entitlement dates are separate from payment status; creating or renewing a period does not create a charge or payment.
